How to Convert a Bank Statement PDF to Excel for Free
2 Oct 2026 · 1 min read · PDF tools
Getting your bank statement into Excel makes it easy to total expenses, find a payment or prepare for tax filing. Copy-pasting from a PDF usually breaks the columns. Here is a better way.
Step by step
- Remove the password if needed. Most banks protect statements with a password (often a mix of your name and date of birth). Open the PDF once with Unlock PDF using that password.
- Open PDF to Excel and choose the statement.
- Keep OCR on if your statement is a scan or a photo copy.
- Check the preview: date, description, debit, credit and balance should be in separate columns.
- Keep "Turn amounts into numbers" ticked so you can use SUM in Excel.
- Download the .xlsx (one sheet per page, or all pages in one sheet).
Tips
- Amounts like 1,23,456.78, ₹500 or (1,200) are converted into real numbers; account numbers keep their leading zeros.
- For a statement you only have as a photo or screenshot, use Image to Excel.
- Always compare the closing balance in Excel with the PDF to make sure no row was missed.
Useful Excel formulas afterwards
- Total spending:
=SUM(D:D)on the debit column - Spending on one merchant:
=SUMIF(B:B,"*Swiggy*",D:D) - Monthly totals: insert a Pivot Table on the date and debit columns
Why do it in the browser?
A bank statement contains your account number, balance and every transaction. HQ8T converts it on your device — the file is never uploaded, unlike most online converters.
